Recording Invoices to a GL Activity in AP Workflow

To record expenses to a GL Activity in Accounts Payable Workflow in miViewPoint, the steps that you will follow will depend upon whether you are entering an invoice or approving an invoice.  See the appropriate sections below.

ADD A GL ACTIVITY TO A GROUP 
in order for a user to be able to enter an invoice to an Activity, the group that person belongs to has to have the proper rights to that Activity.  To add an Activity to a Group, follow these steps:
  1. Login as someone with administrator rights.
  2.  Go to Administration | Groups.
  3. Click on the appropriate Group on the left.
  4. Click on General Ledger.
  5. Under the Activity Range section, enter a range of Activities or a single Activity Number.  You can use the Activity List to pick and choose which Activities that group should have access to.
  6. Click Save in the upper right.
  7. Repeat steps through 6 for other Groups.

RECORD A GL ACTIVITY WHEN ENTERING AN INVOICE

  1. in miViewPoint, go to Accounts Payable | Invoice Workflow | Invoice Entry.
  2. Enter the invoice information at the top.
  3. Click the Add a row plus button at the bottom to enter the GL information.
  4. If you do not see an Activity No field, you will need to add it into your grid.  Follow these steps:
    1. Click the Column Chooser button at the bottom above the grid.      
    2. Click and drag the Activity No column into the grid and in the position you would like it to appear.  
    3. Close the Column Chooser popup.
    4. Enter all information as normal along with the Activity No.   If you are not seeing the Activity you want to use to record this invoice against, the proper rights to this Activity have not been granted.  See the section above title ADD A GL ACTIVITY TO A GROUP to resolve this issue.  
RECORD A GL ACTIVITY WHEN APPROVING AN INVOICE
  1. in miViewPoint, either click on the invoice Approvals Pending tile on the Home page like you normally do or go to Accounts Payable | Invoice Workflow | Invoice Queues.
  2. Click on the invoice that needs approval.
  3. If the GL Account information has already been entered for you, simply add the Activity No.  If you do not see the Activity No field, you will need to add it into your gird.  Follow these steps:
    1. Click the Column Chooser button at the bottom above the grid.      
    2. Click and drag the Activity No column into the grid and in the position you would like it to appear.  
    3. Close the Column Chooser popup.
  4. If you need to enter the GL Account information, click the Add a row plus button at the bottom to enter the GL information.  If you do not see an Activity No field, you will need to add it into your grid.  Follow these steps:
    1. Click the Column Chooser button at the bottom above the grid.      
    2. Click and drag the Activity No column into the grid and in the position you would like it to appear.  
    3. Close the Column Chooser popup.
  5. Enter all information as normal along with the Activity No.  If you are not seeing the Activity you want to use to record this invoice against, the proper rights to this Activity have not been granted.  See the section above title ADD A GL ACTIVITY TO A GROUP to resolve this issue.
